meiseki ApS is the data controller for the personal data we process about you when you use meiseki.dk or contact us.

What we process, and why

When you ask us to call you back. You give us your name, your phone number and optionally your email. We use them to call you back and answer your enquiry.

When you book a meeting. You give us your name, your phone number, your email and the time you pick. We also record your time zone and language, so the times and the invitation suit you. We use the details to send you a meeting invitation, which is also your confirmation. The meeting itself is a video call, using the link in the invitation.

When you send the form, your details go from our server to our mailbox and to an automation service that notifies us and creates the meeting invitation.

When you email us directly. We process the details you choose to send us in order to respond.

Technical data. When you visit the site, our hosting provider briefly records your IP address in standard server logs for operations and security. If you send the form, we also use your IP address for up to 10 minutes to hold back spam and misuse. We don't use this data to profile or track you.

Legal basis

We process the data on the basis of our legitimate interest in answering enquiries, meeting potential clients and keeping the site secure (GDPR article 6(1)(f)).

You don't have to give us your details. But without your name and phone number we can't call you back, and without your email we can't send you a meeting invitation.

We don't collect data about you from other sources, and we don't use your details for marketing without asking you first. We make no automated decisions about you.

How long we keep your data

Enquiries are deleted no later than 12 months after our last contact, unless we start working together. If we do, we keep what's necessary for as long as the engagement lasts and as long as Danish bookkeeping law requires.

The automation service keeps a log of each enquiry for no more than 7 days and then deletes it automatically.

Who we share data with

We don't sell or share your data for marketing. We use three data processors to run the site:

• Our provider of email, calendar and video meetings
• An automation service that notifies us of enquiries and creates meeting invitations, with data stored in the EU
• Our hosting provider, which runs the website and the server that receives the form

They process data only on our behalf and on our instructions. Our email and meeting provider and our hosting provider are US companies certified under the EU-U.S. Data Privacy Framework. Where data is transferred to the US, the transfer is based on that framework or on the EU Commission's standard contractual clauses. If you'd like to know which companies they are, just write to us.

Your rights

You have the right to access the data we hold about you, and to have it corrected or deleted. You can also object to the processing, ask us to restrict it, and receive your data in a portable format. Write to sander.hegelund@meiseki.dk and we'll help.

If we change this policy, we update the date at the top of the page.
